Our key to success is an organisation that values passion, integrity, and respect. To help deliver against this global vision we are seeking a Facilities Coordinator to join our Facilities Management team on a fixed term contract basis until July 2022.

Based at our Media & Technology Centre in Biggin Hill, in this role you will be required to assist the Facilities Management team in across all sites.

Main responsibilities
  • Support with the management of planned and reactive soft and hard Facilities Management services, including, but not limited to, HVAC, Fire Safety, Security, Water Treatment, Waste Management. Cleaning, Sanitisation and Catering.
  • Help manage and develop the PPM schedule.
  • Co-ordinate and liaise with contractors and arrange site and maintenance services.
  • Ensure all relevant paperwork is received ahead of any works, including the review and collation of contractor/suppliers RAMS/relevant insurances and the completion of Permit to Work (PTW).
  • Organise security passes, parking etc. for contractors, and provide daily reminder of scheduled works to Reception, Security and Facilities Management teams.
  • Manage contractors while on site and provide or co-ordinate escorting duties and access requests, as and when needed.
  • Ensure any remedial action from checks and contractor site visits are reported and progressed, and that service records and reports are received and filed appropriately for compliance.
  • Be part of the Facilities Management rota to cover race weekends.
  • Support with F1’s sustainability drive across the Facilities area
  • Assist Facilities Manager and other stakeholders in mitigating the risk in our operation, including but not limited to Health & Safety, Security and Sanitisation
  • Assist with the management of the catering operation, ensure timely and accurate receipt of menus and distribution to the wider operation.
  • Support the F1 COVID mitigation operation and ensure all Contractors and the wider Facilities team are booked in to undertake COVID Testing.
  • Raising of compliant purchase order requests on our P2P system, and ensuring goods and services are accepted so that agreed payment terms are not compromised.
  • Assist in the project management of office renovations and moves.
  • Work with stakeholders to ensure all aspects of Known Consignor training and DBS checks for the team and contractors are completed.
  • Ensure fire and emergency arrangements are in place and regularly monitored, and complete or co-ordinate weekly fire checks.
  • Develop good working relationships with fellow Facilities Coordinator and the wider Facilities Management team.
  • Support Facilities Manager with departmental administration, credit card reconciliation and expense claims.
  • Report all incidents, accidents and significant near misses.
About You
  • Educated to A-Level standard or equivalent
  • Previous experience in a Facilities Environment

  • IOSH qualification
  • Experience of Project Management or being part of a Project team
